Traditionally, facilities have viewed restroom modernization through the lens of aesthetics: fancy faucets, high-end finishes, and ambient lighting. While modernization is often a catch-all term for a physical refresh, functional modernism provides a more impactful layer that redefines the restroom experience while showcasing the next generation of facility leadership. A visual update addresses what a restroom is, but functional modernization delineates what a restroom does. It is the strategic alignment of technology, data, and design to eliminate the “more” that plagues modern facilities—more waste, more maintenance friction, and more user complaints. This focus is critical when considering widely understood industry estimates that reveal restrooms typically account for most building complaints despite only representing a small percentage of total square footage. By shifting to a “less is more” philosophy, facilities can discover that true modernization isn’t found in the aesthetics of their public restrooms, but in the efficiency of the systems and the maintenance teams operating within them. From aesthetics to action All high-traffic environments have two primary stakeholders: the guest and the custodian (or maintainer). Functional modernization seeks to achieve an ideal scenario for both. This requires balancing the user’s requirement for a quick, hygienic, and intuitive experience with the maintainer’s need for simple, data-driven routines. When the restroom functions seamlessly, the guest simply notices—and appreciates—the lack of friction. Simultaneously, the maintainer feels empowered rather than overwhelmed. A primary example of functional modernization in action was the ability of SoFi Stadium in Inglewood, California, to support the extreme demand of Taylor Swift’s six-night “Eras” residency. To maintain a premium experience under historic pressure, the stadium relied on a dispenser monitoring system that sent real time alerts to maintainers’ mobile devices when supplies (e.g., toilet paper, hand soap) ran low. Furthermore, the venue accommodated a predominantly female audience (estimated at more than 70,000 per show) by converting most of the men’s restrooms into women’s facilities. This blend of smart monitoring and agile operations prevented massive, hour-long lines. As SoFi Stadium prepared for eight World Cup games this year—and prepares for the 2027 Super Bowl and the 2028 Summer Olympics—this functional foundation ensures optimized labor, reduced costs, and successful waste diversion goals regardless of crowd size. Mastering dispenser signals An aesthetic upgrade often is a capital expense with a long-term return on investment (ROI). Functional modernization, however, is an operational investment designed to reduce immediate friction. Next-generation touchless dispensers are the front line of this strategy as they are designed to be more intuitive for both users and maintainers through several key innovations: Visual communication: Color-coded visual cues regarding a dispenser’s fill status give staff an at-a-glance dispenser status upon entering the restroom. Users also benefit from easy-to-see alerts regarding dispenser readiness, facilitating faster, trouble-free restroom trips. Total product utilization: As facilities prioritize waste-reduction strategies, new products and processes are necessary to help them reduce unnecessary waste. Towel dispensers with stub-roll technology hold two paper towel rolls and automatically transfer to the second roll when the first is empty. This technology eliminates the “preemptive toss,” when staff discard 10% to 15% of a roll out of fear it will run out before the next check. Adaptive performance: Sensors can now adjust dispensing speeds based on traffic patterns—accelerating during a halftime surge while entering sleep mode during periods of inactivity to conserve battery life. In addition, the use of high-capacity towel, tissue, and soap systems can free maintainers from the “refill chase,” letting them focus on high value deep cleaning and sanitization initiatives. Restrooms as a data hub Modern restroom facilities are increasingly focused on operational mechanics that turn restrooms into data hubs. Real-time usage data helps facilities’ care teams anticipate—and respond to—changing conditions. Data evolution is key to optimizing cleaning staff allocations in an era of labor shortages. Making a maintainer’s job easier does not result in less work, but rather less redundant work. In a traditional model, maintainers might spend most of their shift simply checking dispensers that do not require refills. By removing the guesswork through smart monitoring, facility managers can spend their time on other tasks, improving hygiene and customer satisfaction without increasing headcount. Winning the waste game Measurable insights gained from data also fuel environmental imperatives, such as meeting zero-waste goals. The lingering challenge for many facilities is the inability to manage what is not measured. During their respective 2025 sports seasons, the use of data, combined with operational changes, helped facility managers and maintainers working at Lumen Field in Seattle, Oracle Park in San Francisco, and Progressive Field in Cleveland, Ohio, achieve up to 60% reductions in source waste compared to pre-implementation levels, according to Georgia-Pacific. By tracking exactly when and how products are used, these facilities have reduced paper waste through stub-roll technology or optimized soap consumption. Facility leadership’s future Facility leadership will continue to evolve, especially as managers take on new roles and responsibilities, encompassing an increasingly complex ecosystem of people, data, and systems. Moving away from “just in case” restroom cleaning toward data-driven, predictive maintenance is the cornerstone of a premium user experience. By prioritizing systems and solutions that drive less waste, friction, and downtime, facility managers can exceed performance expectations while achieving measurable business outcomes. In the long run, functional modernization proves that everyone wins when facilities focus on doing more with less.
