Floors are among the most heavily used surfaces in any facility. They withstand a constant combination of foot traffic, dirt, moisture, spills and everyday wear. This means proper floor maintenance is about more than appearance. The right cleaning and maintenance program can protect flooring surfaces, extend their usable life and reduce the need for disruptive and costly replacement. The variety of hard flooring types makes a universal floor maintenance approach impossible. Even floors within the same category may require different products and processes depending on their finish, age, traffic level and environment. With these differences in mind, the following five maintenance practices can help facility and cleaning professionals keep floors performing at their best for as long as possible. 1. Know your flooring surface Effective maintenance starts with understanding the floors first. Hardwood, luxury vinyl tile (LVT) and other resilient flooring materials each have their own maintenance requirements. Applying the same cleaning process to every surface can result in ineffective cleaning at best, and floor damage at worst. Facility teams should know not only the flooring material but also the type of finish or protective treatment on the surface. For each surface they must follow both the flooring and finish manufacturers’ maintenance recommendations, particularly when determining which cleaning products, equipment and restoration procedures are appropriate. Hardwood requires additional consideration as wood is a natural material that responds to changes in its environment, such as humidity and changing temperatures. For example, significant fluctuations in humidity can contribute to issues such as gapping or cupping. And depending on location, wood floors can expand or contract. Understanding the flooring system allows maintenance teams to build a maintenance program around the material rather than relying on a one-size-fits-all approach. 2. Use the right tools The tools used to clean a floor can be just as important as the cleaning chemicals. For both hardwood and resilient flooring, make routine removal of dust, sand and grit a priority. These abrasive particles can become trapped beneath shoes, carts or furniture and gradually scratch or dull floors. Moisture control is especially important when cleaning hardwood floors, as saturating them or leaving standing water behind can be damaging. A damp microfiber mop and a specific hardwood floor cleaner are a better approach than wet mopping. Microfiber mops can effectively capture dust and debris without the amount of water required by a traditional mop and bucket. While resilient floors can tolerate different cleaning methods, more aggressive does not automatically mean more effective. Select scrubbers, pads and brushes according to the flooring manufacturer’s recommendations as unnecessarily abrasive tools can contribute to premature wear. The best tool is the one designed to clean effectively without compromising the flooring surface. 3. Choose cleaning chemistry carefully A cleaner that works well on one surface may not be appropriate for another. For hardwood, look for products specifically formulated for wood floors and, when possible, pH-neutral solutions. Common household approaches such as water and vinegar can be too acidic for most floor finishes, while some all-purpose cleaners may leave residue or gradually wear down the protective surface. The same principle applies to resilient flooring. Facility teams should verify that chemicals are compatible with the specific material and finish rather than assuming a general-purpose product is appropriate. Make sustainability part of the purchasing decision. Where appropriate, consider cleaning products that are bio-based and formulated without unnecessary dyes, fragrances or potentially harmful ingredients. Look for certification such as GREENGUARD Gold and Environmental Protection Agency (EPA) Safer Choice. Concentrated products and cleaning systems that reduce water or packaging can further support facility sustainability goals. 4. Prevent the need for repairs Some of the most effective methods of floor maintenance occur before cleaning begins. Install walk-off mats at entrances to capture dirt, grit and moisture before they travel farther into a building on the bottom of shoes. These mats are also useful in high-traffic areas, particularly during periods of snow, rain or construction. Place protective pads or glides on the bottom of furniture to prevent scratches to the floor. Be sure to inspect the pads regularly because debris trapped underneath can also cause scratches. Pay attention to patterns of wear. If one doorway, corridor or seating area consistently deteriorates faster than the surrounding floor, simply repairing it repeatedly does not address the underlying problem. Adjusting cleaning frequency or adding entrance matting in those areas can help stop minor wear from becoming significant damage. 5. Consider the floor’s lifecycle Perhaps the most effective floor care tactic is shifting from a reactive mindset to a lifecycle approach. Hardwood and resilient flooring are both long-term building assets. Regular inspections can identify dulling, scratches, traffic damage or deterioration in protective layers before the damage reaches the floor itself, requiring more extensive restoration. For hardwood, periodic professional maintenance or refinishing may restore the protective surface before complete replacement becomes necessary. The same is true of resilient flooring care. While resilient materials are designed to withstand significant use, their longevity still depends on proper maintenance. Modern resilient flooring systems and protective treatments can help facilities reduce their reliance on more labor-intensive maintenance procedures. However, resilient flooring still benefits from routine cleaning, appropriate chemistry and timely intervention when wear begins to appear. Although refinishing has long been a common practice in the hardwood industry, it’s just starting to gain traction in the resilient space. By refinishing resilient flooring, maintenance teams can extend the service life of all floors, creating an even bigger-picture sustainability benefit. Every additional year a floor remains in use can mean fewer materials removed and replaced and less disruption to facility operations and budgets, as well as less waste entering the disposal stream. Whether maintaining hardwood or resilient surfaces, the fundamentals remain the same: Know the floor, use the right tools and products, prevent unnecessary damage, intervene before small problems become large ones and explore the option for refinishing versus complete replacement. By treating floor maintenance as an investment in the lifecycle of the surface—not simply a cleaning task—facility teams can keep floors looking
