Inspectors from the Occupational Safety and Health Administration (OSHA) usually arrive without much warning. While some OSHA inspections are scheduled, others stem from employee complaints, workplace incidents, or targeted enforcement initiatives. Regardless of how an inspection begins, one thing is certain: the condition of a facility often reflects the effectiveness of its cleaning program. For building service contractors and in-house cleaning teams, OSHA readiness entails far more than making a facility look presentable. A well-managed cleaning program helps support safe walking surfaces, proper chemical handling, organized storage areas, and documented work practices—all of which contribute to a safer workplace and can leave a positive impression during an inspection. The best time to prepare for an OSHA walkthrough isn’t the day an inspector arrives. It's every day before. Focus on housekeeping, not appearance Housekeeping is one of the most visible indicators of a well-managed facility. Cluttered aisles, overflowing waste containers, wet floors, and poorly maintained work areas can create hazards that extend well beyond appearance. OSHA’s Walking-Working Surfaces standard requires employers to keep workplaces clean, orderly, and in a sanitary condition while ensuring walking surfaces remain free of hazards whenever possible. Good housekeeping plays a direct role in reducing slips, trips, and falls, which are the leading cause of workplace injuries across many industries. For cleaning professionals, this means paying close attention to: Walkways and emergency exit routes Spill response procedures Waste collection and disposal Floor maintenance practices Storage areas prone to debris accumulation Maintaining these areas consistently helps create a safer environment long before an inspection occurs. Give chemical management daily attention Cleaning operations depend on chemicals, but improper handling can quickly become a compliance issue. Cleaning teams should ensure: Cleaning product containers are properly labeled. Safety Data Sheets (SDSs) are readily accessible. Employees understand the hazards associated with the products they use. Dilution procedures follow manufacturer instructions. Chemicals are stored safely and separately when required. OSHA’s Hazard Communication Standard exists to ensure employees understand the chemicals they work with and how to protect themselves. Rather than treating hazard communication as an annual training requirement, successful organizations reinforce these practices throughout the year. Keep documentation front of mind One of the biggest differences between reactive and proactive organizations is documentation. Cleaning managers must be prepared to demonstrate that safety procedures are written out and actively followed. Examples of crucial documentation include: Employee training records Personal protective equipment (PPE) training records Inspection reports Equipment maintenance logs Chemical inventory records Corrective action documentation Documentation not only supports OSHA compliance, it also helps supervisors identify recurring issues before they affect employees or customers. Elevate the role of supervisors Even the best written procedures lose effectiveness without consistent oversight. Supervisors should routinely verify that crews are: Following standardized cleaning procedures Wearing appropriate PPE Using chemicals correctly Reporting hazards promptly Completing required documentation Regular supervisory walkthroughs can identify small issues before they become larger problems. Rather than looking for employees doing something wrong, effective supervisors look for opportunities to reinforce good habits and provide coaching when needed. Maintain inspection-ready equipment Improperly maintained equipment such as leaking floor machines and vacuums with damaged cords and broken extension handles can create unnecessary safety risks. Unfortunately, cleaning crews may not pay close attention to their equipment until something goes wrong. Include routine equipment inspections as part of your cleaning program. Simple daily checks can identify problems before they result in employee injuries or equipment failures. Ensure that employees understand when they should remove equipment from service rather than using it “one more time.” Strengthen compliance through communication OSHA readiness isn’t solely the responsibility of the cleaning team. Facility maintenance staff, safety personnel, and workers in various other departments all contribute to OSHA compliance. Regular communication between departments helps ensure everyone understands: Areas requiring special attention New workplace hazards Construction or maintenance activities Updated safety procedures Customer concerns When departments share information consistently, cleaning teams can adapt their work tasks before small issues become inspection findings. Build inspection readiness into daily operations Some organizations scramble to prepare whenever they hear OSHA may be visiting. Those that build inspection readiness into their everyday routines simply continue operating as usual. An OSHA walkthrough is ultimately a snapshot of how an organization operates every day. Cleaning professionals have a significant influence on that picture through safe housekeeping practices, proper chemical management, consistent documentation, regular equipment maintenance, and effective supervision. Organizations that prioritize these fundamentals create cleaner, safer workplaces year-round. So when OSHA inspectors arrive, these organizations can seamlessly demonstrate the same disciplined cleaning practices that employees and building occupants experience every day.
